Modules Description
Bar-code Reader Module:
In this module all the information will be read and will be available against the product that is being scanned. It will provide fields for the Name, Description and Expiry Date etc.
Configuration Module:
A Printer will attach with a computer system and it will provide a print-out containing details of total amount given by customer, type of item sold, quantity of item sold, cash returned to the customer and date of service.
This module will also take care of the receipt size and information that needs to be available on the receipt. This receipt will have a bar-code number and this will be used if you customer want to return anything. In case of return we will scan this receipt and previous bill will be showed. All other things relevant to a network will include in this module as per demand and requirement.
- Employee Login
This portion will provide a non admin and admin user login facility that can have different kind of roles and privileges. Employee can be cashier or just a sale man delivering demanded items from customers on the store that’s why rights or privileges will be different.
- Item Cataloger Unit
In a store there exist a lot of items regarding grocery and meat or any other thing that a common person can have for his/her use in a daily life. Catalogue will make an ease for store owner or employee or worker to find any item without wastage of time. There will be three catalogue units as followed.
- Grocery
- Vegetables
- Meat
User Module:
There can be different employee types. For example some of the employee will use computer system and some of the employee will not use the computer system. Those who will use a computer system will be registered in a computer system by providing their mandatory information.
Here there will be an option to generate the username and password for the employee or owner will provide them user name and password in the future when the will computer?
- Attendance:
For attendance we are facilitating our client by providing an interface where there will be four different buttons as followed.
- Time In
- Time Out
- Lunch Time In
- Lunch Time Out
Flow:
There will a drop down from where a user can select his name or ID or what so ever will be provided for this. Then user will presses Time In button and from the drop down a user cannot again enter his/her Time In. Now as soon Lunch time enters then again for that user name will appear in the drop down after a refreshing interval and now he/she can logged his/her Lunch Time In.
This is just a flow for understanding but while developing we will have other options as well to modify this plan and to make it more precise and accurate.
Depending upon the employees and other users, there will be roles and rights panel from where different roles and rights can be assigned to the different users. For example there can be more than one administrators for the stores or there can be more than one employees that can have a same access to some module.
- Item Returned back by the customer
In this module all those items purchased by our customer can be returned back to the store. Suppose a customer bought different items and now he wants to return back his/her item then our system will have a separate module where token number/Bar Code of the receipt will be entered/scanned and cashier will cancel all the items by removing them or will put a new voucher as return voucher to have a track of returned items.
All items going to be removed will make an addition again in inventory and a receipt will be generated by the system showing that which product was sold out against the specific token number and which items have made an addition in inventory.
- Reporting
Reporting will be of different types. Please see below.
- Remaining items in the inventory.
- Total number of items sold with their quantity.
- Day wise report of sale.
- Week wise report of sale.
- Month wise report of sale.
- Number of sale occurred online through web portal or mobile.
- Number of sales on the store of those customers which come on the store and shopping.
- Attendance report of the employees.
- Report for items returned back to the store.
- Reports specific to grocery items.
- Reports specific to Vegetable items.
- Reports specific to meat items.
- Cancelled orders.
- We will provide the reports with flexibility to select multiple columns and generate reports.
- Inventory System
This module will give a whole view about inventory. What can be performed in this module is as followed.
- Administrator or a person having rights to enter or view this portion will log-in.
- Different items can be added in the inventory.
- Counts or quantity of the items can be seen here.
- Status of items can be changed, suppose there were seventy tea cups in inventory and among them five tea cups have broken. Now against Cup category a user can enter amount 65 instead of 70 and can make a log there that five cups has wasted or mark 5 cups as waste.
- Every catalogue can be seen here.
- Catalogue can be edited/updated.
- Catalogue can be deleted.
- Catalogue can be added.
- Category can be deleted.
- Category can be edited/updated.
- Category can be added.
- User can see all categories and their sub categories.
- Against each category a catalogue will be appeared.
- Against each addition, updating, deletion a log will be generated with a person ma king such changes.
- If admin user is not logged-in and some other person with inventory rights is performing such operations then at every commit an SMS will be generated by the system and will be delivered to the store owner.
- Suppose a store owner has ordered different items and now this is a time to put them in inventory then through barcode reader our system will read that barcode and automatically n the system a screen will open where a user can add different specifications e.g. retail price, net price, supplier name, Tax if applicable, amount/quantity etc.
- While adding any product into the inventory on the screen there will be an option to add tax. Now this is environment dependent that what Tax value has implemented in the region on different items. Through barcode reading there an option of tax will be appeared automatically where user can add tax after which total price will appear including Tax.
- SMS System
Our system will provide SMS facility to the customer and to the store owners for different circumstances discussed below. A GSM modem will be configured for sending SMS according to the native mobile plan.
- When a non admin person having rights of inventory will update item, delete item, add item or change the status of item, an SMS will be delivered to the store owner with all information accordingly.
- When a customer will return back some item then an SMS will be delivered to the store owner for information about what was given back to the store and who and how entered in to the inventory including how many cash was back to the store?
- When a customer will place an online order then two SMS will be generated, one for store owner and one for customer placing the order.
- Before changing the status of order from in process to accomplished, if a customer cancels the order then again an SMS will be generated and deliver to the store owner.
- Grocery
In this module all items regarding grocery will be added, updated or deleted. Here subcategories can also be defined against any category. Catalogues will be managed here for grocery items.
- Vegetable Module
In daily life there people use different kinds of vegetables. Vegetable can have barcode and cannot have a barcode. Those vegetables which will have a barcode can be put into inventory in the same manner as we have discussed and if there is no barcode then manually we will enter in system and then in inventory manually.
- Meat
Similar to grocery there will be a meat category. Here we can perform following functions.
- A rate calculator will be added.
- Permitted person can add meat type.
- Permitted person can delete meat type.
- Permitted person can update meat type.
- Permitted person can set rate through a rate calculator.
- Permitted person can create catalogues.
- Permitted person can edit or update catalogues.
- Permitted person can delete catalogue.
- User can add different meat categories e.g. Legs, chest, front legs etc. and while we will sold the meat we will be able to identify if that was a leg or chest piece or mix.
- Administrator Panel
This module is specifically belongs to administrators of the stores. In this module what can be an admin perform is as followed.
- Administrator can edit his/her profile.
- Administrator can change his/her password.
- Administrator can change rights/roles of different employees.
- Administrator can view all types of reports.
- Administrator can see all transactions.
- Administrator can set store timings for opening and closing.
- Administrator can have cam views deployed in the store.
- All the modules which can be added or deliver in this POS an Administrator can have access for all those through this panel.
- Administrator Dashboard will show the graphs against different criteria.
- Design will be finalized for Dashboard.
- Customer Registration
In this module there is a facility for a customer to get register on this app for a continuous tracking and avoiding to provide information every time
After registration an email will be sent to the customer and user will confirm the email and account will be activated then.
- Promotion and Discounts
In this portion for a store owner there will be a facility to put different kind of offers on different purchases, products. There can be different scenarios for creating promotions. Please see below.
- Suppose we have 100 milk packs purchased on different dates. Among those now there are 30 packs which are going to be expired after 20 days. Now if they will expire then it will be a loss so to avoid such loss we c create an offer. For example if one person will buy 2 packs then we will give 10% discount so that we can recover some of our cost.
- Suppose from the supplier or from some brand we have an offer on some of the products then we can add that offer for a specific item.
- Promotion Flow/Screen
There will be a screen where there is a facility to find or to search items by their catalogues, quantity (in case of meat or meat type). A person will select from there and on the screen there will be different fields e.g. weight, amount, type, Discount, Discount eligibility criteria for specific products, price etc. This screen will be dynamic where user can add fields dynamically because for every item promotion criteria can be different.
- Online Order Through a WEB Portal:
Online order in the start we are just introducing for the meat category where using a web portal customer can place his/her order. Different functions involve in this portal are as followed.
- Customer can select different categories of meat.
- After selection web portal will acquire mandatory information from customer including identity card no.
- A token number will be generated.
- Customer can track or can know status of his order any time by entering his Identity number.
- An SMS will be generated first time when customer will place his/her order.
- When order will be ready then again an SMS will be generated to the customer for its receiving.
- Before changing of status of order placed by the customer, order can be cancelled.
- Customer will come to the store and pay the net amount which will be entered in to the system.
- Online Order Through a Mobile Portal:
Online order in the start we are just introducing for the meat category where using a mobile application customer can place his/her order. Different functions involve in this portal are as followed.
- Customer can select different categories of meat.
- After selection web portal will acquire mandatory information from customer including identity card no.
- A token number will be generated.
- Customer can track or can know status of his order any time by entering his Identity number.
- An SMS will be generated first time when customer will place his/her order.
- When order will be ready then again an SMS will be generated to the customer for its receiving.
- Before changing of status of order placed by the customer, order can be cancelled.
- Customer will come to the store and pay the net amount which will be entered in to the system.
- Searching Facility
Search will allow integrating keyword search functionality into KHAN STORE website and local system so that users can search specified text.
- Multiple Searches and Filters
The website will contain the different selection & sorting filters like product wise, brand wise, price range filter etc.

- SPAM PROTECTION:
All the interactive forms will include an optional CAPTCHA, to help prevent contact form spam which is becoming more common. Several other forms on the site include a CAPTCHA. To make things slightly easier for the user, our CAPTCHAs will also be customizable for different characters long and may or may not be case sensitive. This may increase as spammers get better at cracking CAPTCHAs
- Accounting Module
This module will handle the accounts of different suppliers and customers. This will also maintain the Taxation. This module will also take care of accounting principles and related things.
